Everyday spreadsheets

Sort the list, not just one column.

Keep names and their details together when you reorder a sheet.

Each row belongs together.

A row in a spreadsheet often describes one thing: an item, its quantity, and its location. If you sort only the item names, the quantities can be left behind. You get an orderly-looking list with incorrect pairings.

Make a practice table with headers Item and Quantity. Add Pears with 4, Apples with 7, and Bananas with 2. Select both columns of the table before using Data → Sort range → Advanced range sorting options. Mark that the data has a header row and sort by Item A to Z.

Keep the pairings

Before

Pears 4 Apples 7 Bananas 2

After A–Z

Apples 7 Bananas 2 Pears 4

The row order changes; each item’s quantity stays attached.

Check a relationship after the sort.

The result should put Apples first, but its quantity should still be 7. That is the important check. Alphabetical order is easy to see; preserving the relationship between cells is the part that protects the meaning.

Practice on this tiny table before sorting a working sheet. If the result separates a name from its number, undo immediately and check the selected range. Blank gaps and partially selected tables deserve a second look before you apply a sort.

A small example to try
Item Quantity Pears 4 Apples 7 Bananas 2
Your turn 5 minutes

Make it yours.

  1. Create the two-column sample table.
  2. Select the whole table and sort by Item, marking the header row.
  3. Confirm that every item kept its original quantity.

What changed when you tried it?

A little nudge

Select both columns, not just the names.

What to look for

The order becomes Apples 7, Bananas 2, Pears 4. The quantities move with their items.

Take it one small step further

Sort by Quantity instead and check the same pairings again.

Keep this bit

A row is a record; move its cells together.
